This Privacy Policy describes how Lookup ("Lookup," "we," "us," or "our") collects, uses, stores, and shares information when you use our websites, applications, and related services (collectively, the "Service").

Lookup is an AI-assisted interview and meeting copilot. During live sessions, the Service may process audio from your microphone, audio from shared meeting or system sources, transcripts, screen content you choose to share, and AI-generated responses to help you prepare for and participate in professional conversations.

By creating an account or using the Service, you acknowledge that you have read this Privacy Policy. Where required by law, we will ask for your consent separately (for example, when you accept our Terms of Service at registration).


1. Information We Collect

We collect information in three broad categories: information you provide, information generated during your use of the Service, and technical information.

1.1 Information you provide

  • Account information: name, email address, authentication credentials, and profile settings.
  • Professional materials: resumes, job descriptions, company names, project notes, and other content you upload or enter.
  • Communications: messages you send to us (for example, support requests) and, if enabled, email processed through your Lookup assistant address.
  • Payment information: billing details are handled by our payment providers; we receive transaction references and purchase history, not full card numbers.

1.2 Information generated when you use the Service

  • Session audio: when you start or join a live session, we may capture and process microphone audio and, if you enable it, audio from a shared meeting or system source (for example, via browser screen or tab sharing).
  • Transcripts: speech-to-text output derived from session audio.
  • Screen and meeting content: if you initiate screen or tab sharing, content visible in that share may be processed in real time to support transcription, context analysis, and AI assistance.
  • AI outputs: model responses, summaries, research notes, and suggestions generated during or after a session.
  • Session metadata: session identifiers, timestamps, duration, feature usage, and technical events needed to operate the Service.
  • Recordings: depending on your settings and session type, raw or processed session audio may be stored for delivery of the Service (for example, replay, quality review, or transcription completion).

1.3 Technical and usage information

  • Device and log data: IP address, browser or app version, operating system, device identifiers, and diagnostic logs.
  • Cookies and similar technologies: as described in our cookie practices and your browser settings.

We do not intentionally collect sensitive categories of data (such as health, biometric templates for identification, or government ID numbers) unless you choose to include them in content you submit. Please avoid sharing information you are not authorized to share.


2. How We Use Information

We use the information described above to:

  • Provide, operate, maintain, and secure the Service;
  • Transcribe speech, analyze conversation context, and generate AI-assisted responses;
  • Conduct company and role research you request to support interview preparation;
  • Meter usage (including session minutes), process payments, and prevent fraud;
  • Communicate with you about the Service, including security notices and product updates;
  • Comply with law, enforce our Terms of Service, and protect the rights and safety of Lookup, our users, and others;
  • Improve reliability and performance using aggregated or de-identified analytics that do not identify you.

We do not sell your personal information. We do not use your session content to train public or general-purpose AI models.


3. Legal Bases for Processing (EEA, UK, and similar jurisdictions)

Where the GDPR or equivalent laws apply, we rely on one or more of the following legal bases:

You may withdraw consent where consent is the legal basis, without affecting the lawfulness of processing before withdrawal. Withdrawing consent may limit your ability to use certain features.


4. Session Recording and Audio

Lookup is designed for live professional conversations. When you use live session features:

  • You choose when to start a session. Starting or continuing a session constitutes your request that we process session audio and related data to provide the Service.
  • Audio may be recorded and stored for the duration needed to deliver transcription, AI assistance, billing, troubleshooting, and your account history.
  • You are responsible for compliance with recording laws that apply to conversations involving other people. See Section 6 and our Terms of Service.

We may display in-product indicators when recording or live processing is active. Those indicators are provided for transparency; they do not replace your obligation to obtain any consent required by applicable law.


5. Screen Share and Meeting Content

If you use browser or system sharing features:

  • Content visible in the shared screen or tab (including meeting interfaces, slides, chat, or documents) may be captured and processed only while sharing is active and only to operate the Service.
  • You should share only content you have the right to share and that you are comfortable having processed by Lookup and its subprocessors.
  • Close screen sharing when you no longer want that content processed.

6. Your Responsibilities Regarding Other Participants

If your session includes or affects other individuals (for example, an interviewer, colleague, or meeting participant):

  • You are responsible for providing any notice and obtaining any consent required under applicable law before recording, transcribing, or otherwise processing their speech or shared content.
  • Laws vary by location. Some jurisdictions require all-party consent; others permit one-party consent. When participants are in different locations, the strictest applicable requirement may apply.
  • If you cannot obtain required permissions, do not use recording or transcription features for that conversation.

Lookup does not determine whether a particular conversation may lawfully be recorded. We provide tools; you control when they are used and must ensure lawful use.


7. AI Processing

We use third-party and Lookup-operated AI systems to:

  • Transcribe audio;
  • Interpret conversation context;
  • Generate suggested talking points, answers, and research summaries.

AI outputs are automated and may be incomplete or inaccurate. They are provided for assistance only and are not professional, legal, or employment advice. You are responsible for how you use AI-generated content.

We configure providers to process your content for delivery of the Service, not to train their public models on your session content, subject to each provider's terms and our agreements.


8. How We Share Information

We share information only as needed to operate the Service:

  • Service providers (subprocessors): cloud hosting, speech-to-text, large language model inference, email delivery, payment processing, analytics (where enabled), and customer support tools. These providers are bound by contractual obligations to protect data and use it only to provide services to Lookup.
  • At your direction: when you export data or integrate features you enable.
  • Legal and safety: when required by law, legal process, or to protect rights, safety, and integrity of the Service.
  • Business transfers: in connection with a merger, acquisition, or asset sale, subject to continued protection consistent with this policy.

9. Data Retention

We retain information only as long as necessary for the purposes described in this policy, including:

  • Account data: for the life of your account and a reasonable period thereafter for legal, security, and backup purposes.
  • Session content (transcripts, AI outputs, recordings): for your account history and Service delivery unless you delete applicable sessions or your account, subject to technical backup cycles.
  • Billing records: as required for accounting, tax, and dispute resolution.
  • Deletion requests: when you delete your account, we follow our published deletion process (including a short cancellation period and a recovery window). After that process completes, personal data is put beyond use and scheduled for removal from active systems, subject to legal retention obligations.

10. Security

We implement administrative, technical, and organizational measures designed to protect information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure; we cannot guarantee absolute security.


11. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access personal information we hold about you;
  • Correct inaccurate information;
  • Delete information or your account;
  • Restrict or object to certain processing;
  • Receive a portable copy of information you provided;
  • Withdraw consent where processing is consent-based;
  • Lodge a complaint with a supervisory authority.

You can update certain account information in your settings and delete your account from the account settings page when available.


12. International Data Transfers

Lookup may process information in the United States and other countries where we or our service providers operate. When we transfer personal data internationally, we use appropriate safeguards (such as Standard Contractual Clauses or equivalent mechanisms) where required by law.


13. Children

The Service is not directed to children under 16 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. Contact us if you believe a child has provided information to us.


14. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version with a revised "Last updated" date. If changes are material, we will provide additional notice (for example, in the Service or by email). Continued use after the effective date constitutes acceptance of the updated policy where permitted by law.
